Accounting teams running Zoho Books often struggle at month-end when invoices marked as sent in their ledger fail to appear on the GST portal. A smooth filing workflow depends on connecting Zoho Books as a GST Suvidha Provider (GSP) client, validating table classification before upload, and resolving common API submission errors.
Direct GSTN upload versus offline JSON export
Under Section 37(1) of the CGST Act, every registered supplier must furnish details of outward supplies by the 11th of the succeeding month for monthly filers, or the 13th of the month following the quarter for quarterly filers under Rule 59 of the CGST Rules. Zoho Books supports two main paths to push outward data to the GST portal:
- Direct API push: Connect Zoho Books directly by enabling API access in your GST portal profile under Manage API Access. Zoho acts as an application partner via licensed GSPs, uploading invoice batches directly from the GST Filing module.
- Offline JSON upload: If portal API sessions expire or GSTN servers face downtime, export the return file in JSON format from Zoho Books. Log in to the GST portal, navigate to Returns Dashboard, select the tax period, click Prepare Offline under GSTR-1, and upload the generated JSON file.
Common mistake: Pushing data from Zoho Books to GSTN only uploads invoice lines to portal draft tables. It does not complete the statutory filing. You must generate the summary on the GST portal, review the figures against your general ledger, and file using DSC or EVC.
Pre-filing review checklist in Zoho Books
Before initiating the upload, navigate to GST Filing → GSTR-1 in Zoho Books and check the following sections:
- Uncategorised transactions: Inspect transactions that lack HSN codes, valid place of supply, or proper customer GSTINs. Transactions with missing mandatory fields remain excluded from GSTR-1 tables.
- B2B supplies (Table 4): Verify customer GSTIN status. Inactive or suspended recipient GSTINs trigger validation rejections during portal upload.
- B2C Large invoices (Table 5): Per Rule 59(4) of the CGST Rules, inter-State supplies to unregistered persons with invoice value exceeding Rs 1,00,000 must be reported invoice-wise. Ensure state classification matches the customer delivery address.
- Credit and debit notes (Table 9B): Match credit notes against original tax invoice numbers and original supply dates to avoid portal mismatch warnings.
- HSN summary (Table 12): Ensure each HSN code carries valid UQC (Unit Quantity Code) values and positive taxable amounts.
Common Zoho Books GSTR-1 upload errors and fixes
During the Push to GSTN step, Zoho Books displays validation messages returned by GSTN validation engines. The table below lists frequent error conditions and their fixes:
| Error message | Probable cause | Resolution in Zoho Books |
|---|---|---|
| Invalid GSTIN format or status | Customer GSTIN cancelled or typed incorrectly | Verify GSTIN via portal search; update customer master and regenerate invoice |
| Duplicate invoice number found | Invoice number already exists in current or prior return on GSTN | Check portal draft; if already accepted, exclude duplicate in Zoho |
| HSN code invalid or missing digits | 6-digit or 4-digit HSN requirement not met | Update item master with valid HSN code and re-save the invoice |
| Session token expired | GST portal API access session ended (valid up to 6 hours) | Regenerate OTP in Zoho Books under GST Settings → Re-authenticate |
Worked example: reconciling Zoho sales register with portal draft
Consider an enterprise, Apex Tools Private Limited, preparing its monthly GSTR-1 in Zoho Books for a tax period. The sales ledger registers Rs 17,70,000 in gross outward supplies, broken down across multiple transaction types:
| Transaction category | Taxable value | CGST | SGST | IGST | Total invoice value |
|---|---|---|---|---|---|
| Intra-State B2B sales (18%) | ₹10,00,000 | ₹90,000 | ₹90,000 | ₹0 | ₹11,80,000 |
| Inter-State B2B sales (18%) | ₹3,00,000 | ₹0 | ₹0 | ₹54,000 | ₹3,54,000 |
| Inter-State B2C Large (18%) | ₹1,50,000 | ₹0 | ₹0 | ₹27,000 | ₹1,77,000 |
| Intra-State B2C Small (18%) | ₹50,000 | ₹4,500 | ₹4,500 | ₹0 | ₹59,000 |
Total taxable turnover equals Rs 15,00,000 (calculated as ₹10,00,000 + ₹3,00,000 + ₹1,50,000 + ₹50,000). Total tax liability equals Rs 2,70,000, consisting of CGST ₹94,500, SGST ₹94,500, and IGST ₹81,000.
When reviewing the pushed draft in the GST portal, compare Table 4 (B2B: taxable ₹13,00,000), Table 5 (B2C Large: taxable ₹1,50,000), and Table 7 (B2C Others: taxable ₹50,000). Any discrepancy signals an untracked credit note or an invoice held in draft status in Zoho Books.
Filing sequencing under Rule 59(6): Remember that under Rule 59(6) of the CGST Rules, the GST portal blocks GSTR-1 filing if you have not filed GSTR-3B for the preceding month, or if you have an unaddressed intimation in Form DRC-01B under Rule 88C. Keep previous returns filed before attempting submission.
Step-by-step summary workflow
For inward supplies, your accounting software data must align with what your vendors file. Learn the end-to-end process in our guide on how to reconcile GSTR-2B with accounting software.
Check your own GSTR-2B
While Zoho Books handles your outward sales returns, input tax credit claims require strict verification against vendor filings. Our browser tool compares your purchase register with government GSTR-2B reports in seconds. Your GSTR-2B and purchase register files are read in your browser and never uploaded to any server.
