Customer says invoice not showing in GSTR-2B

When a customer says invoice not showing in GSTR-2B, the issue almost always stems from a supplier-side filing date, table misclassification, or GSTIN typo. Check whether your GSTR-1 was filed before the monthly cut-off date, verify whether the invoice was mistakenly placed in Table 7 (B2C Others) instead of Table 4A (B2B), and correct any omissions before filing Form GSTR-3B by using optional Form GSTR-1A.

Receiving an email from a corporate buyer stating that your invoice is missing from their GSTR-2B usually stalls payment. Under CGST Rule 36(4), a buyer cannot claim Input Tax Credit (ITC) unless the supplier has furnished invoice details in Form GSTR-1 or through the Invoice Furnishing Facility (IFF) and those details appear in the buyer's Form GSTR-2B. When your buyer cannot see the credit, their accounting team withholds payment until you provide proof of filing.

Before issuing a credit note or re-entering data blindly, investigate the five checkpoints below from your GST portal login.

1. Check your GSTR-1 filing date against the GSTR-2B cut-off

The timing of your GSTR-1 filing determines which month's GSTR-2B statement displays the invoice. Under CGST Rule 60(7) and official GSTN GSTR-2B FAQs, GSTR-2B is an auto-generated static ITC statement generated on the 14th of each month with strict filing cut-off windows:

  • Monthly GSTR-1 filers: The cut-off window covers documents filed from 00:00 hours on the 12th of the previous month to 23:59 hours on the 11th of the current month. If you filed September GSTR-1 on 12 October instead of 11 October, your invoices do not appear in the buyer's September GSTR-2B generated on 14 October. They will appear in their October GSTR-2B generated on 14 November.
  • Quarterly QRMP filers: The cut-off window for IFF or quarterly GSTR-1 covers documents filed from 00:00 hours on the 14th of the previous month to 23:59 hours on the 13th of the current month.

Common mistake: Assuming that filing GSTR-1 before the recipient files GSTR-3B immediately updates their current GSTR-2B. GSTR-2B is a static statement. Once generated after the 11th, any late-filed GSTR-1 shifts into the buyer's subsequent tax period GSTR-2B.

2. Verify the reporting table: B2B Table 4A vs B2C Table 7

Check the filed summary of your GSTR-1. According to the GSTN GSTR-1 Manual, outward supplies must be entered into specific tables for credit to flow:

  • Table 4A, 4B, 4C, 6B, 6C: Supplies made to registered persons (B2B supplies). Invoices in these tables pass into the buyer's GSTR-2B. For a complete overview of outward tables, review our guide on GSTR-1 tables and how they feed GSTR-2B.
  • Table 5A, 5B: B2C Large inter-state supplies to unregistered persons exceeding statutory limits.
  • Table 7: B2C Others (summarised net supply to unregistered customers).

If your accounting software exported the invoice as an unregistered consumer sale, your data entry operator may have batched it into Table 7. Supplies reported in Table 7 are consolidated state-level entries without buyer GSTINs. They never pass credit to any customer's GSTR-2B.

3. Check for GSTIN typos and Place of Supply errors

Open your filed GSTR-1 return, navigate to Table 4A, and search for the specific invoice number. Verify two key details:

  1. Customer GSTIN: Confirm that the 15-character GSTIN matches the customer's state code and PAN exactly. A single typo (such as confusing the letter O with digit 0, or entering the buyer's Mumbai branch GSTIN instead of their Bengaluru branch GSTIN) credits an entirely different entity or generates a mismatch.
  2. Place of Supply (POS): Ensure the state selected in the Place of Supply matches the recipient's registered location. An incorrect POS does not stop the document from showing in GSTR-2B, but it may cause the recipient's ERP to flag the ITC as ineligible or reversed under Section 16(2)(aa).

4. How to fix missing invoices using Form GSTR-1A

If you discover that you missed an invoice or entered incorrect details in your filed GSTR-1, you do not have to wait for next month's return if you have not yet filed Form GSTR-3B for the current period.

Under CGST Rule 59(1) proviso and Rule 59(4A) (inserted by Notification No. 12/2024-CT), taxpayers have the option to file Form GSTR-1A. Per the GSTN FAQs on Form GSTR-1A and GSTN GSTR-1 Guidelines:

  • Form GSTR-1A is an optional facility available after filing Form GSTR-1 or after its due date, whichever is later, but before furnishing Form GSTR-3B of the same tax period.
  • You can add a completely missed B2B invoice directly into Table 4A of Form GSTR-1A.
  • You can amend incorrect details previously filed in GSTR-1.
  • Under the Invoice Management System (IMS), when a supplier files an amendment or fresh supply via Form GSTR-1A, the record flows to the recipient's IMS dashboard, enabling the credit to reflect in their system.

Note on GSTR-1A availability: Form GSTR-1A can only be filed once per tax period. Once Form GSTR-3B for that period is submitted, GSTR-1A is locked, and any remaining corrections must be reported in the next tax period's GSTR-1 via amendment tables.

Worked example: resolving a withheld invoice payment

Consider Apex Engineering (supplier in Maharashtra) and Precision Components (buyer in Maharashtra). For the September 2026 tax period, Apex Engineering raised two tax invoices on Precision Components:

Invoice number Taxable value CGST (9%) SGST (9%) Total invoice value Status reported in GSTR-1
INV-1048 ₹2,00,000 ₹18,000 ₹18,000 ₹2,36,000 Filed in Table 4A on 10 October
INV-1049 ₹1,00,000 ₹9,000 ₹9,000 ₹1,18,000 Mistakenly bundled in Table 7 (B2C)

On 15 October, Precision Components downloads their September GSTR-2B and finds that invoice INV-1049 is missing. The accounts department holds back ₹1,18,000 due to the missing ₹18,000 tax credit (₹9,000 CGST + ₹9,000 SGST).

The supplier's correction path:

Identify omission in Table 7 → Log in before filing GSTR-3B → Open Form GSTR-1A → Add INV-1049 in Table 4A → File GSTR-1A with EVC/DSC → File GSTR-3B

Because Apex Engineering discovered the error before submitting September GSTR-3B, they logged into the portal, accessed Form GSTR-1A, added INV-1049 under Table 4A with Precision's valid GSTIN, and adjusted their Table 7 values. The document flowed to the buyer, allowing ITC validation.

Frequently asked questions

Why is my invoice not showing in my customer's GSTR-2B even though I filed GSTR-1?

The four most common reasons are filing after the monthly 11th cut-off date, misreporting the invoice under B2C Table 7 instead of B2B Table 4A, mistyping the customer's 15-digit GSTIN, or omitting the invoice completely from your GSTR-1 return.

Can I add a missing invoice using GSTR-1A?

Yes. Under Rule 59(4A), after filing GSTR-1 you can add a missed outward invoice or amend details in Form GSTR-1A before filing Form GSTR-3B for that tax period. The added supply flows into your customer's GSTR-2B statement.

What happens if I reported a B2B invoice in B2C by mistake and filed GSTR-3B?

Once GSTR-3B for that month is filed, GSTR-1A closes for that period. You must report the invoice under Table 4A and amend or reduce the B2C supply under Table 10 of GSTR-1 in the subsequent tax period.
