How to use a GSTR-2B reconciliation tool

Reconciling your purchase register against GSTR-2B takes just a few clicks with the right tool. Here is exactly how to upload your files, review your matched invoices, and spot blocked input tax credit (ITC) securely in your browser.

Between the 14th of the month (when GSTR-2B is generated) and the 20th (when GSTR-3B is due), you have a tight window to match hundreds of purchase invoices and claim your input tax credit. Doing this manually in Excel is slow. Using an automated ITC matching tool speeds up the process.

This guide explains how to use our free tool at gstr2bmatch.in to compare your books with GSTR-2B in minutes, without putting your client data at risk.

Privacy promise: your GSTR-2B and purchase register files are read in your browser and never uploaded to any server.

Step 1: Download your files

Before you begin, you need two files:

  1. GSTR-2B from the portal: Log in to the GST portal and navigate to Services → Returns → Returns Dashboard. Select the period, open GSTR-2B, and download the Excel or JSON file.
  2. Your purchase register: Export your purchase bills from your accounting software (like Zoho Books, Busy ERP, or Tally) to an Excel or CSV file.

Step 2: Add files to the tool

Go to the gstr2bmatch.in tool page. The interface is simple.

  1. Click or drag your downloaded GSTR-2B file into the first upload box.
  2. Drop your purchase register Excel or CSV file into the second upload box.

If you use Zoho Books or Busy ERP, the tool automatically detects the column headers (like GSTIN, invoice number, and tax amounts). If you are using a generic Excel sheet, the tool will ask you to select which column holds the invoice number, date, and tax value.

Step 3: Review the five buckets and ITC at risk

Once you click to match, the tool processes the data instantly and sorts every invoice into one of five buckets. A rupee summary at the top shows exactly how much ITC is at risk this month.

Here is how the reconciliation works for each bucket:

  • Matched: The invoice is in both your books and GSTR-2B, and the tax values match perfectly. You can safely claim this ITC.
  • Value mismatch: Found in both, but the tax amount differs (for example, due to a rounding error or partial entry).
  • In books, missing from GSTR-2B: The supplier has not filed their GSTR-1, so the invoice is missing. You cannot claim this ITC yet.
  • In GSTR-2B, not in books: The invoice is on the portal but missing from your accounting software. You may have forgotten to record the purchase.
  • IMS PENDING: The invoice is missing from your GSTR-2B, but the supplier did file their GSTR-1. This usually means you left the invoice in "Pending" status on the Invoice Management System (IMS) dashboard. ITC is blocked until you take action.

Warning: Invoices kept Pending in IMS are not included in that period's GSTR-2B. You must accept them on the IMS dashboard to claim the ITC.

Step 4: Export your results

After reviewing the mismatches, you may need to send a list to your suppliers to ask why they have not filed, or share the report with your CA.

Review mismatches → Export to Excel → Follow up with suppliers

If you are on the Pro tier, you can click the "Export to Excel" button to download a complete spreadsheet of the five buckets, or generate a PDF report. This exported file is what you will use to track down missing ITC and fix errors before filing GSTR-3B.
